Privacy Notice

This notice covers this website, blackties.co.uk. If you hold a Blackties account and use the driver dashboard, a separate notice applies to it and is available at dashboard.blackties.co.uk/privacy.

1. Who we are

Blackties Technologies Ltd (trading as Blackties), WestLink House, 981 Great West Road, Brentford, TW8 9DN, is the data controller responsible for your personal data. We are registered with the Information Commissioner's Office (ICO) under registration number ZB759630. You can contact us about privacy at privacy@blackties.co.uk.

2. What this notice covers

It explains what personal data this website collects, why we use it, who we share it with, how long we keep it, and the rights you have. It applies to everyone who visits the site, joins the waiting list, asks to view a vehicle, or signs in.

3. The personal data we collect

We only collect what the site actually needs. Depending on what you do here, that is:

• Your name and email address, when you join the waiting list or sign in.
• Your phone number, if you give one so we can call you back or arrange a viewing. This is optional and you can skip it.
• The vehicles you add to your list, and which one you are most interested in, so we know who to call when a car frees up.
• Whether your email address has been confirmed, and the sign-in codes we email you. Codes are short-lived and single use.
• If you use Sign in with Google: the account identifier Google gives us, plus the name, email address and profile picture on your Google account. We never receive your Google password.
• If you set a password: a securely hashed version of it, never the password itself, and a count of failed attempts so an account can be locked after repeated guesses.
• Your IP address and the times you sign in, to keep accounts secure and to investigate abuse.
• Basic server logs: the page requested, the time, and the IP address. Our server deliberately does not log the query string on a request, because a sign-in link can carry a token in it.

We do not ask for, and this website does not collect, your licence details, your bank or card details, or any document scan. If you go on to rent from us, that happens through the driver dashboard under its own notice.

4. Why we use it, and our lawful basis

We only use your data where the law allows. Our lawful bases are:

• Steps towards a contract: to answer your enquiry, keep your place on the waiting list, arrange a viewing and get you into a vehicle.
• Legitimate interests: to keep your account and this site secure, prevent fraud and abuse, and understand which vehicles people are waiting for so we buy the right stock. We balance this against your rights and use the minimum data needed.
• Legal obligation: where we have to keep or disclose records, for example for tax or in response to a lawful request.

We do not sell your data, we do not use it for advertising, and we do not profile you. We contact you about the car you asked about, not with marketing campaigns.

5. Cookies, and what we store in your browser

This website sets no tracking, analytics or advertising cookies. There is no Google Analytics, no advertising pixel and no third-party tracker on this site.

What we do store is your sign-in, kept in your browser's own local storage so that closing the tab does not sign you out. It holds your name, email address, phone number if you gave one, the cars on your list, and the token that proves you are signed in. You can clear it at any time by signing out, which is on your waitlist page, or by clearing site data in your browser.

Two Google services load on these pages, and both mean Google receives your IP address:

• Sign in with Google, which Google needs in order to offer the sign-in button and which sets its own cookies on Google's domains under Google's privacy policy.
• Google Fonts, which serves the two typefaces this site uses.

6. Who we share it with

We do not sell your data. We share it only with providers who process it on our behalf under a written contract, and with others where the law requires:

• Resend, which sends our emails, including your sign-in codes.
• Cloudflare, which sits in front of this site and provides its network protection and encryption.
• Google, for Sign in with Google and Google Fonts, as described above.
• Authorities and professional advisers, for example HMRC, TfL, the police or our advisers, where we are legally required or permitted to share.

If you go on to rent a vehicle, our payment provider Worldpay handles card payments at that point. Nothing on this website takes a payment.

7. Sending data outside the UK

Some of our providers process data outside the UK. Where they do, we make sure the transfer is covered by an approved safeguard, such as UK adequacy or Data Bridge cover, or an International Data Transfer Agreement.

8. How long we keep it

• Waiting list and enquiry records: while you are on the list, and for up to 24 months after we last heard from you, then deleted. Ask us sooner and we will remove you sooner.
• Sign-in sessions: a session lasts up to a year and renews while you keep using the site. Signing out ends it.
• Sign-in codes: minutes, then they expire.
• Security and server logs: a short period, kept only as long as they are useful for investigating a problem or an incident.
• If you become a customer: your records move to the retention periods in the dashboard privacy notice, which are longer because tax and contract law require it.

9. Your rights

You have the right to ask us to: give you a copy of your data (access); correct inaccurate data; erase data; restrict or object to our use of it; and, where relevant, port it to another provider. To exercise any of these, contact privacy@blackties.co.uk. We will respond within one month, and it is free.

Taking yourself off the waiting list is quicker than a formal request: remove the cars on your waitlist page, or email us and we will delete the record.

10. Complaints

If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the ICO at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

11. Changes to this notice

We may update this notice. The date at the top shows when it last changed, and the current version is always here.
